Outreach Automation

Link building at scale without a dedicated outreach team. Muginai discovers prospects from competitor backlink gaps, personalizes email sequences, detects replies, and branches sequences automatically based on response status.

5 steps per sequence

How outreach automation works

1

Prospect discovery

Muginai identifies link opportunities from three sources: competitor backlink gaps, niche-relevant pages via CommonCrawl, and your own imported CSV lists. Each prospect is scored for domain authority and topical relevance.

2

Sequence assignment

High-scoring prospects enter an email sequence template of your choosing. Sequences are 2–5 steps with configurable delays (1–14 days between steps). Each email is personalized with the prospect's domain, page URL, and your offer angle.

3

Warmup & sending

New sender accounts go through a warmup schedule — starting at 5 emails/day and ramping over 3–4 weeks. Established accounts respect your daily volume limits. All sends go through your connected email account (Gmail, Outlook, SMTP).

4

Reply detection & branching

Muginai monitors your inbox for replies. A positive reply pauses the sequence and surfaces the conversation for your response. A bounce or auto-reply marks the prospect as invalid. No-reply after step N triggers the next follow-up automatically.

5

Link tracking

When a new backlink appears for a domain in your outreach pipeline, Muginai cross-references it with active campaigns and marks the campaign as converted. Link acquisition rate and average sequence length to conversion are tracked per campaign.

What's included

🎯

Competitor backlink gap

Automatically surfaces domains that link to your top competitors but not to you — filtered by domain authority, topical match, and existing relationship status.

✏️

Personalized sequences

Each email is dynamically generated with the prospect's domain name, target page, and your outreach angle. No mail-merge-style mass blasts.

🌡️

Email warmup scheduler

New sending accounts ramp gradually from 5/day to 40/day over 4 weeks. Warmup messages are sent to real inboxes (not spam traps) to build sender reputation.

📬

Inbox reply monitoring

Muginai checks your connected inbox every 15 minutes for prospect replies. Positive replies pause the sequence and create a Telegram notification.

🔀

Sequence branching

Configure different follow-up paths based on reply type: interested, not interested, or no reply. Each branch has its own step schedule and email templates.

📊

Campaign analytics

Delivery rate, open rate estimate, reply rate, and conversion-to-link rate tracked per campaign. Compare sequences by template and by prospect source.

Common questions

How does Muginai personalize outreach emails? +

Each email is generated using a template that draws on the prospect's domain name, their target page URL, the content you're linking to, and your configured outreach angle (guest post offer, resource mention, broken link replacement, etc.). The LLM personalizes the intro sentence using the prospect's page title and a relevant hook from their content.

Does this work if I don't have an existing domain or email reputation? +

Yes, but warmup is required. Muginai's warmup scheduler ramps new sending accounts gradually over 3–4 weeks, sending to a real inbox pool to establish positive sender signals. Skipping warmup on a cold domain risks deliverability issues — Muginai will prompt you to complete warmup before allowing live campaign sends.

Can I use my existing Instantly.ai or Lemlist sequences? +

Not directly. Muginai's outreach automation is a separate module. However, you can export prospect lists from Muginai as CSV and import them into Instantly, Lemlist, or other tools if you prefer to keep your existing sequence tooling.

What happens when a prospect replies saying no? +

Negative replies ("not interested", "please remove me", "not accepting guest posts") trigger an automatic unsubscribe from all future sequences and flag the domain as do-not-contact in your prospect database. The domain is excluded from future outreach even if it surfaces in future backlink gap reports.
